Sakura Days Japan Fair is a family-friendly, two-day festival celebrating Japanese culture. Hosted at the stunning VanDusen Botanical Garden, this event showcases Japanese performing arts, cuisine, businesses, and cultural activities.
Organized by the Japan Fair Association of Vancouver (JFAV), it is part of the Vancouver Cherry Blossom Festival.

Important Information for Vendors Selling Food & Beverages

If you plan to sell to-go drinks and/or offer food sampling, you must submit a Temporary Food Service (TFS) permit from Vancouver Coastal Health by February 9, 2025.

Vendor Requirements

  • All booths must promote Japanese culture through food, arts, crafts, fashion, or business.
  • The JFAV carefully selects vendors that align with the event’s mission to enhance understanding of Japanese culture in Canada.
  • Selling Vendors: Sell and/or promote Japanese-related products/services.
  • Non-Selling Vendors: Provide information about a non-profit organization (no product/service promotion or sales allowed).

Vendor Booth Details

  • Approximately 60-70 vendor booths available (including food vendors).
  • Booths will be indoors or outdoors within VanDusen Botanical Garden, including the Floral Hall Pavilion.
  • Booth space: One table size
  • Vendors may share a booth with JFAV approval.

Included in Booth Space

  • One 6 ft. x 2.5 ft. table & two chairs
  • Limited electrical power: 110V, 1320 Watts (one outlet per table)
  • Additional power available at C$100 per 1320 Watt circuit (subject to availability)
  • Vendors must bring their own power bars & extension cords.

Vendor Responsibilities

  • Provide all necessary booth materials (tablecloths, signage, decorations, lighting, etc.)
  • Arrange for individual insurance coverage
  • Collect applicable taxes on sales
  • Commit to both event days
  • Booth setup by 9:45 AM each day
  • Zero waste policy: Minimize garbage, use biodegradable/compostable containers & cutlery
  • Follow Vancouver Coastal Health guidelines if selling or sampling food

Facilities & Security

  • Washrooms: Available inside the Visitor Centre; portable toilets near the Upper Lawn.
  • Security: Onsite overnight security provided. Vendors should secure valuables overnight.
  • Weather or Safety Closures: JFAV reserves the right to shut down booths or the entire event due to safety concerns.

Marketing & Promotion

SDJF receives extensive media coverage through:

  • Vancouver Cherry Blossom Festival promotions
  • Community event listings & websites
  • Email marketing campaigns

NOTE:

  • Vendors grant JFAV permission to use their name, photos, and business details for promotional purposes.
  • Media Interviews: Indicate on your application if you are willing to participate (specify language preferences).

Deadlines

  • Sunday, January 12, 2025 – Application Deadline
  • Sunday, February 2, 2025 – Payment Due
  • Sunday, February 9, 2025 – TFS Permit Submission Deadline

  • The information collected on this form will be used for signage and other communications related to this event, so please ensure that all information is correct.
  • Please email the JFAV at vendors@japanfairvancouver.com if you have any questions about the event or the application procedure.
  • The JFAV reviews all submitted applications and reserves the right to not accept any application. Applicants chosen to participate in Sakura Days Japan Fair (“the SDJF”) must submit their participation fee by Sunday, February 2, 2025.

      The vendor grants the JFAV and the Vancouver Cherry Blossom Festival the right to use the vendor’s name, photographs, likenesses, and biographies to advertise and promote the Event.

      All food samplers MUST complete and submit a Vancouver Coastal Health Temporary Food Services Application by February 9, 2025.

      Vancouver Coastal Health will conduct a food safety inspection on the day of the event. Booth operations must remain fully within the designated tent area. Vendors who fail the inspection may not participate.

      All food samplers MUST only use biodegradable or compostable plates, utensils, and containers. Violations may result in penalties, booth closure, or disqualification from future events.

      After being accepted to participate in the SDJF 2025, the Applicant agrees to pay the participation fee and understands that it is non-refundable.

      I have read and agree to the terms of this application, including the liability waiver. I release SDJF and its affiliates from all losses or damages and accept full responsibility for any risks involved in participation.
